Junk Mail Reduction

Purpose
To prevent the creation of junk mail waste by eliminating it at the point of generation, and to reduce the volume of junk mail waste deposited into the University’s solid waste stream by recycling it. Related aspects identified through the EMS process include: Junk mail and old newspaper waste generated by faculty and staff was seen as a waste of natural resources, labor for sorting and handling, and wasted costs for solid waste disposal.

Environmental Objectives
3.1 Reduce the amount of junk mail generated by vendors and sent to the College of Arts and Sciences faculty and staff.
Recycle junk mail waste generated by the College of Arts and Sciences faculty and staff.

Related Targets
Develop and implement a program to reduce the amount of junk mail being mailed to CAS members 20% per year.
Develop and implement a program in CAS to recycle a minimum of 10,000 lbs. of junk mail per year.
Implement programs without increasing overall costs for solid waste & recycling management.

Specific Function and/or Department
CAS Deans Office: Supports and encourages participation in junk mail reduction & recycling.
CAS faculty and staff: Becomes familiar with junk mail reduction & recycling tools and participate.
CAS Department Administrative Assistants Support programs with help from work-study students.
Facilities Management Staff: Responsible for movement of materials from central collection areas to storage and off-loading sites.
UNE Recycling Coordinator oversees overall program, provides signage, work with vendor to accept recyclable junk mail, answers questions with regard to recycling program.

How will Junk Mail Reduction objectives be met?
Junk Mail Reduction Kit distributed to CAS faculty and staff.

Deans Office officially requests each member to participate.

CAS Administrative Assistants assist by taking names off vendor mail lists and tracking the number of requests.

Recycling Coordinator works one-on-one with Admin. Assistants to determine most efficient systems for their individual mailbox centers.


How will Junk Mail Recycling objectives be met?
Junk Mail Recycling Instructions distributed to all CAS faculty and staff.

Deans Office will officially request each member to participate.

Junk mail waste is integrated with office paper waste recycling program.

Junk mail deposited to “desk-side” paper recycling containers.

Each faculty or staff member empties his/her own “desk-side” container into centralized accumulation bins located in common areas.

Facilities Management Staff replaces full bins when in receipt of a demand work order from CAS Administrative Assistants.

Facilities Management Staff tracks number of bins in the Junk Mail Log Sheet.

How will these objectives be tracked?
Administrative Assistants track number of vendors contacted using Junk Mail Tally Sheet.

Staff records the number of recycling bins that are replaced in Junk Mail Log Sheet.

Conduct phone survey of all CAS faculty and staff.

What operational controls might support the achievement of these objectives?
Facilities Management demand work order system.

Junk Mail Reduction Kit Tally Sheets maintained by Administrative Assistants reviewed periodically.

Junk Mail Recycling Log Sheets reviewed periodically.

Review programming, participation, responsibilities, and total reductions and recycled tons annually.

Deans Office resends request for participation at beginning of fall and spring semesters.

What resources will be required to achieve these objectives?
One “desk-side” container for each office occupant.

Central accumulation bins on wheels placed in common, convenient areas.

Signage on each bin that explains what should be placed inside.

Budget to pay vendors for pick up and hauling of recyclable materials.

Labor to replace full central accumulation bins upon demand, or on schedule.

Labor to contact vendors to remove faculty names from mail lists.

Labor to work with Admin. Assistants and others to answer questions, encourage participation.

Labor to create and update and replace signage.

Labor to provide information on UNE web site.
