Job Description

Under the direction of the Associate Dean, supports CDM Faculty Course Directors by coordinating and carrying out key administrative support related to specific academic and/or administrative functions.  

Responsibilities

  • Coordinate and carry out various day-to-day faculty administrative functions.
  • Perform tasks related to the development and maintenance of computerized departmental records:  assist in design and implementation of academic data management/reporting systems using various PC software; initial data base input; ongoing use of the system, involving regular data input and generation a variety of regular and special reports related to academic affairs.
  • Supports Course Directors in coordination and standardization of course preparation materials and entry into Blackboard and other appropriate software programs including acting as liaison to Vital Source (electronic textbook company) in gathering information and ordering approved textbooks to the VSL Library.
  • Develops and maintains a database of all students enrolled in the program to include coursework taken, student progress, etc..
  • Develops, posts, and extracts student course evaluations using appropriate software programs.
  • Main liaison to Dean’s Office regarding official department student forms: academic probation, grade change and incomplete grade forms - tracking, sending letters, etc. 
  • Supports CDM Outcomes Assessment Committee
  • Liaison to the Office of Graduate and Student Affairs on issues related to student academic support services, etc..
  • Primary point of contact for faculty and students on issues related to student progress, academic policies and procedures, student records, etc..
  • Prepare reports in support of the CDM Academic and Professional Standards Committee and track actions and recommendations of that committee.
  • Works with others to initiate and validate graduation eligibility with Registrar; prepare student information and other details for hooding ceremony and graduation with Student Affairs; provide Registrar with information to issue diploma.
  • Coordinate various tasks for departmental faculty.
  • Maintain current knowledge of University policies and procedures.
  • Understand and comply with the University of New England Safety Manual.
  • Completes new employee orientation and sexual harassment training within 30 days of the date of hire.
  • Perform other duties as assigned.

 

Qualifications

  • Education: A minimum of a Bachelors Degree in an appropriate discipline        
  • Experience:  3-5 years of relevant administrative experience

 In addition, the individual must possess the following knowledge, skills and abilities.

  • Strong computer skills, including proficiency with Microsoft Office Word and Excel, Blackboard, Crystal Reports and familiarity with Access.  
  • Strong planning, administrative and organizational skills; excellent skills in reading, spelling/grammar and writing.
  • Good general understanding of higher education organizational structure and administrative operations.
  • Ability to deal effectively with a wide variety of individuals inside and outside the University.
  • Excellent oral and written communication skills.
