Coordinator of Career Services

BASIC FUNCTION
This is an administrative/professional position in the Office of Graduate and Professional Student Affairs with primary responsibility for the planning, management, administration and evaluation of the career services program to graduate and professional students. The position will assist students in skill development, career preparation, career development/professional portfolios and job search strategies. In addition, this position will assist in providing the programs and services of the Graduate and Professional Student Affairs unit with responsibility for student professional development and leadership initiatives.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

Primary

  • Plan, implement, administer, coordinate, monitor, and evaluate the specific programs, functions, services, and activities of all delegated areas of responsibility. Develop and modify programs/operating systems in response to student needs, division and institutional objectives.  
  • Develop, maintain and evaluate a comprehensive career resource center.
  • Develop, maintain and evaluate a career services program inclusive of workshop development, career fair, position listing data, on line services, career assessment/testing, professional portfolios/co-curricular transcripts, etc.
  • Consult with students in individual, group, and classroom settings regarding job search skills and strategies. Assist students in setting short and long range career goals.
  • Consult with health professions and pharmacy faculty and staff on a regular basis regarding field of study and career related needs, trends, etc.
  • Plan, request, and administer/oversee the operating budgets of assigned functions.
  • Carry out a variety of key research, planning and assessment tasks related to assigned functions.
  • Plan, implementation and evaluate a program of professional portfolios/co-curricular transcripts for students.
  • Assist in the planning and execution of various major events, i.e., career fair, orientation, graduation, mentoring programs, student leadership initiatives, recognition efforts, etc.
  • Assist in supervision of College of Health Professions and College of Pharmacy clubs and organizations.
  • Develop and implement programming to support leadership initiatives development.
  • Advise and counsel students on a variety of academic, personal, and disciplinary issues.
  • Assist in the coordination, use and operation of the Proctor Center; including policies, procedures, facility needs, etc.
  • Confer regularly with staff to plan and coordinate activities, resolve problems, assist with difficult or unusual tasks, etc.
  • Confer regularly with immediate supervisor, the Biddeford Campus Office of Career Services and Placement, Student Affairs staff, and other University personnel to plan, coordinate and evaluate programs, activities, policies, exchange information, investigate and resolve problems, refer students, and the like.
  • Working with the Office of Community and Student Life, assist in the planning, supervision and coordination of a wide range of support functions related to specific graduate student organizations: train and supervise student organizations leaders, faculty liaisons; coordinate arrangements for all necessary support services and facilities.
  • Assist the Assistant Dean in developing and administering other graduate and professional student services programs as assigned.
  • Plan and administer appropriate record keeping and reporting systems for assigned functions.
  • Prepare various administrative/management reports.
  • Responsible for area web pages including content, visual design and postings.
  • Keep abreast of current developments in career related matters, higher education and student affairs programs. Participate in on-going professional development.
  • Complete new employee orientation and sexual harassment within 30 days of the date of hire.
  • Understand and complies with the University of New England Safety Manual.
  • Perform other related duties as assigned.

SUPERVISION EXERCISED
Limited supervisory responsibility for two secretarial support persons, work-study students and graduate student organizations.

SUPERVISION RECEIVED
General direction is received from the Assistant Dean of Students.

QUALIFICATIONS
Masters degree in student personnel, higher education, career planning, adult education or other appropriate discipline, plus three or more years of relevant experience in an institution of higher education or a combination of education and experience from which comparable knowledge and skills are acquired.

  • Sound understanding of student development theory and philosophy.
  • Thorough understanding and experience with career planning/placement activities.
  • Relevant experience related to health professions and Pharmacy education.
  • Previous experience working with adults and/or graduate education.
  • Good program planning, organizational, administrative, supervisory, and budget management skills.
  • Good writing skills; good investigative, analytical and problem-solving skills. Ability to deal effectively with a wide range of individuals and groups within and outside of the University.
  • Well-developed skills in n Microsoft Word, Excel, PowerPoint and FrontPage. Use of software (frontpage, etc.) to create electronic newsletters, webpage content, etc.
